Job Description

General Summary:

This position provides work direction to the office staff who are dedicated to the clinical support of rehab clinicians. Ensure the smooth daily workflow of the operations for several departments within the office cluster.

Essential Job Functions:

  • Coordinates the efforts of the support staff to ensure a productive work environment. Completes and documents new employee orientation, time cards and attendance records, check requests, staff scheduling and PTO requests. Assists with other such personnel and administrative duties and responsibilities as assigned by the Department Manager or Director.

  • Assists the Department Manager and Director Hospital Administrator in recruiting staff and filling vacancies. Completes necessary requisitions and related documentation consistent with Hospital and Division policies and procedures. Keeps Department Managers and Director informed of all personnel issues that may affect clinic operations and takes appropriate action to address staffing issues.

  • Identifies and addresses the continuing education/ training needs of staff, taking advantage of Hospital or community programs where appropriate.

  • Works with Department Managers and Director to ensure that forms and records needed to provide clinical service to patients are developed, ordered, modified and present in sufficient quantity to conduct patient care and bill for services.

  • Handles and resolves day-to-day clinical support tasks for one or more departments, such as adequate staffing in the back office, ensuring that P.C.s, phones and other office equipment are in good working condition, works with Department Managers, Director and staff to resolve problems.

  • Acts as person responsible for the appropriate development, use and modification of staff scheduling templates. Ensures that staff appropriately enters data into the Epic system. Monitors the skill level and training needs of the staff with regard to the institutions' information systems. Is knowledgeable and adept at using the Epic software for management reporting.

  • Works closely with the Department Manager and Director to develop and monitor department budgets.

  • Acts as the primary resource for problem solving for Director, Department Manager and staff. Identifies goals and objectives for performance improvements that are needed in order to provide the best patient care, optimum customer service and improve staff satisfaction.

  • Reviews billing information, information encounter data and patient satisfaction scores and completes reports as requested by Director, Department Manager and/or the Hospital in order to assist with financial and operational improvements.

  • Works with Department Manager or Director to organize monthly meetings regarding the department's clinical activities.

  • Other duties as assigned by the Department Manager or Director.

Knowledge, Skills and Abilities:

  • High School diploma or equivalent. Associate degree preferred or equivalent educational courses.

  • Three years general office or secretarial experience that includes one year of mid-level management support required. Hospital or physician office experience preferred.

  • 1 year office supervisory experience in a hospital or physician office setting strongly preferred. Experience with major project management and planning preferred.

  • Experience with a Microsoft Windows environment and proficiency in Microsoft Word, Excel and Power Point. Experience with Microsoft Access preferred.

  • Ability to operate standard office equipment (examples: photocopy machine, facsimile machine, calculator, etc.).

  • If position has occasion to function in PSR role, Certification in CPR from the American Heart Association by completion of the BLS AED Heartsaver Course within 90 days of initial hire date.
