Responsibilities

We currently have a great opportunity available for a Administrator, System - Talent Management. The System Administrator provides the planning, project execution and management of the talent management system. Ensures systems processes and procedures operate effectively and efficiently to meet current and future business needs to build a high performing and engaged workforce. Provides day-to-day system administration and maintenance services and ensures the proper functioning of all aspects of the system, including accurate management and error-free user experience. Troubleshoots and resolves system issues, formulates and conveys requirements to our vendor and tests applications when implementing changes, system enhancements or upgrades. Ensures system security and employee data privacy.

Serves as a liaison between the Enterprise business departments and the HR Team on technical and functional support related to use of the system. Coordinates and leads meetings with involved parties as appropriate. Proactively provides best practice recommendations, training, expert-level application support and data to improve and support business processes for the system. Solves point-in-time challenges to increase the effective use and adoption of the talent management system. Leads projects related to the system, including development, communication of requirements and specifications. Works with minimal supervision and is responsible to make an established range of decisions, escalates to manager when necessary and updates manager on a regular basis.

Essential Duties and Responsibilities:

Talent Acquisition

1. System Administration and Validation (40%)
* Manages the talent management system through systems support, overseeing the day-to-day operations, and implementing processes related to system modules. Masters and maintains detailed knowledge of talent management product suite with an awareness of opportunities to expand solutions and services and performs the Superuser role within the system.
* Identifies and implements configuration changes to the system after appropriate testing. Develops and executes accurate and comprehensive test plans and test matrixes for new product or enhancement implementations. Signs off or acquires sign-off of testing. Ensures testing and validation of system aligns to internal Quality and Compliance validation protocol. Provides ongoing support, troubleshooting, and enhancements to optimize the system's performance.
* Works with areas to determine custom/ad-hoc reporting needs. Configures and executes scheduled and ad-hoc reports. Runs error reports/audits related to HRIS interfaces. Researches the causes of any data integrity issues and resolves them independently. Conducts regular reports/audits of business processes and provides metrics to the appropriate individuals.
* Collaborates with cross-functional teams to gather requirements and design SF solutions. Ensures all users/administrators have access to the system at all times, at the appropriate level of security role. Controls security access and creates and maintains security profiles, grants security rights to users, develops and maintains a security audit function.
* Maintains all system documentation of changes/updates to the system for all modules. Stays up to date with industry trends and best practices to recommend improvements. Mentors and supports internal staff on SF functionality.
* Monitors system efficiencies and corporate-wide usage. Makes suggestions for improvement.


2. Governance (30%)
* Manages the governance framework and structure to ensure transparency, inclusion, and attention to cross-functional business needs. Establishes regular cadence of governance meeting with key system support administrators, business process owners, and business representatives.
* Oversees the coordination with module administrators to configure modules, plan, implement, test, rollout and provide support for the talent management system. Creates and provides training tools for other administrators and system users as needed. Identifies training needs of end users and works with HR Team to provide the necessary training to meet those needs.
* Leads the HR Team and business areas in evaluating system enhancements, prioritization and making recommendations on requirements needed to meet those needs. Collects, researches and develops written business requirements for system projects, enhancements and reporting specifications to the system application.
* Communicates product updates, new features, and functionality to the Enterprise with the established operating procedures prior to making changes live. Shares key information regarding the talent management system (e.g., planned downtime, release information, etc.) to the appropriate stakeholders and according to standard operating procedures.
* Manages the release process by attending overview sessions with the vendor and actively testing new functionality throughout the UAT process prior to moving to a live environment. Understands changes and articulates this information to HR Team.

3. Vendor Management (10%)
* Serves as liaison with talent management vendor hosting and processing centers. Manages relationship to ensure that appropriate service levels and customer support are maintained.
* Monitors performance of the system via quality monitoring framework to ensure vendor is accountable over the length of the vendor contract. Ensures feedback from key internal stakeholders, including HR, T&D, management and end-users is captured and analyzed to recognize trends in adoption and issues. Consolidates all feedback in report to vendor.
* Collaborates with internal and external clients, vendors, and the IT Department to determine best practice solutions for the talent management system. Identifies opportunities for business and process improvement and optimization; makes recommendations and implements as appropriate. Works with vendor and IT Department to address support issues and questions.


4. Other duties (20%)

Talent Development

    Prepares pre-work materials, class handouts, name tents, job aids, and gathers needed supplies to set up the classroom. Assists instructors with room-set up, technical issues and other administrative duties. Handles catering needs.
  1. Assists instructors in setting up and running virtual learning sessions.
  2. Responsible for the communication of classes to participants and sends various class notifications. Emails post learning info and class evaluation surveys.
  3. Coordinates all travel arrangements for instructors including flights, hotel arrangements, and transportation.
  4. Provides technical support to virtual classes using AdobeConnect and assists the team in planning various Learning events.

Qualifications
  • Bachelor's degree or 8+ years required experience which may include experience in the Armed Forces. Minimum (3) three years of experience working with SAP SuccessFactors domain or like systems and processes, implementing SuccessFactors modules or like systems and maintaining modules, including requirements gathering, testing, documentation, and final solution rollout and platform validation.

  • Preferred certification designation(s): SAP SuccessFactors Associate, SAP SuccessFactors Professional, SuccessFactors certification a plus, PMP a plus.

  • Experience with SAP SuccessFactors modules preferred, including Employee Central, PMPG, Talent Management / Succession, and LMS.

  • Experience implementing and/or upgrading an HCM system.

  • Experience in managing deep integrations within the SAP SuccessFactors system
  • HCM software applications and products especially SAP SuccessFactors system administration.
  • Experience working in a highly regulated validated system environment.
  • Project Management skills
  • Experience with vendor management
  • English required, Bilingual Spanish or Portuguese a plus

  • Must have experience with Microsoft Office software applications, preferably with the SAP SuccessFactors suite.

  • A systems thinker, the ability to quickly connect different concepts and to distill information into actionable solutions. Strong project management skills. Have a consultative and collaborative approach to working with system stakeholders.
    Excellent problem-solving skills and attention to detail and the ability to communicate with larger teams.
