Job Description

The Guardianship Representative Payee Specialist provides fiduciary support to guardianship clients and ensures guardianship accounts are kept in a positive balance. The Guardianship Representative Payee Specialist ensures all client fiscal needs are met on time, throughout the month, while maintaining SSA standards and policies.

ESSENTIAL DUTIES (FUNCTIONS) include the following:

  • Performs data entry in Quick Books, guardianship program and other programs as needed.
  • Maintains proper paperwork and records for program as required in compliance with local, state, federal and program policies, standards, and timelines.
  • Processes checks from various accounts and manages payment documentation.
  • Categorizes income and expenses in QuickBooks, which includes reviewing accounts for accuracy.
  • Completes financial reports for Medical Assistance and Social Security Administration, including required audits.
  • Assists Guardianship Manager and Business Office with collections of outstanding accounts.
  • Participates in quarterly meetings for Collections accounts.
  • Reviews and maintains documentation on Accounts Receivable report.
  • Assists Guardianship Manager with tracking client's guardianship fees throughout calendar year so that petitions and orders to the court can be filed.
  • Assist Estate and Benefit Supervisor with maintaining spreadsheet of Guardian of Estate clients and when it is deemed appropriate request discharge and send funds to Attorney.
  • Communication with Associated Bank Manager to open and close accounts as well as troubleshoot various concerns within guardianship accounts.
  • Submit applications for representative payee to Social Security and complete and file required annual reports.
  • Works with Guardianship department on IRS levy's that come through guardianship accounts.
  • In collaboration with the Guardianship of Estate and Benefit Supervisor, initiate and complete spend down when necessary to ensure Medicaid eligibility.
  • Assists with accountings for Guardian of the Estate clients in a timely manner. Adheres to due dates given by the courts specific to each county.
  • Assists Guardianship Representatives with online purchases (including credit card reconciliation) for their wards, as needed.
  • Assists Guardianship of Estate and Benefits Supervisor to apply for all WisPACT trust accounts for clients, as directed. Asses need for WisPACT trust when and if possible.
  • Assists with completing, processing, and tracking all Social Security, Veterans Administration, Medicare and Medicaid, pension, retirement, and other benefit enrollments, applications. As well as process the renewals for clients' benefits based on client specific deadlines.
  • Assists with completing overages and work collaboratively with Guardianship of Estate and Benefits Supervisor and Guardianship Manager.
  • Assist with incoming mail distribution.
  • Participates in assigned meetings, professional development, and training as required.

NON-ESSENTIAL DUTIES

  • Assists Estate and Benefits Supervisor with clerical tasks as assigned.
  • Assists with compiling financial reports.
  • Performs other duties (or functions) as assigned.

QUALIFICATIONS:

  • Associate degree in accounting/business with a minimum of two (2) years of accounting experience (preferably in a non-profit environment) is preferred, OR a high school diploma, GED, or HSED with a minimum of three (3) years of equivalent accounting experience (preferably in a non-profit environment) is required.
  • A valid driver's license and reliable transportation preferred.
  • A Criminal Background Check must meet the requirements of the State of WI licensure for day programming.
  • A Credit Check is required for this position.

Specialized Skills/Abilities/Knowledge:

  • Working knowledge of MS Office Suite applications.

PHYSICAL DEMANDS:

  • May be required to lift, carry, push or pull up to 25 pounds.
