Job Description

Job Summary

The Immunization Records Specialist establishes and maintains digital vaccine records and provides clerical assistance with the day-to-day operations of the front desk.

Job Description

Typical duties include but are not limited to:

  • Coordinates all immunization actions, prepares reports, and maintains immunization records and their security.
  • Tracks, approves, and removes holds from Banner accounts.
  • Maintains vaccine information.
  • Educates and informs campus about new processes and new revised vaccine requirements/forms.
  • Handles student/parent immunization concerns.
  • Maintains inventory items and office supplies.
  • Assists with developing policies and procedures regarding immunization requirements.
  • Adheres to and complies with HIPAA.
  • Serves as essential personnel and provides assistance in the event of an emergency on campus.

Other Duties:

  • Performs other job-related duties as assigned.
  • Assists with front desk coverage operations as necessary.

Additional Job Description

Required Qualifications:

  • This position requires a high school diploma and three years of full-time experience directly related to the job functions.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Outlook).

Preferred Qualifications:

  • Certified Medical Assistant
  • Experience in a health care setting
  • Experience with Ellucian Banner software
  • Bilingual (English/Spanish)

Knowledge, Skills & Abilities:

  • Knowledge of general office procedures.
  • Knowledge of and proficiency with Microsoft office (Word, Excel, and Outlook).
  • Strong interpersonal, verbal and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous and diverse demands are involved.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
  • Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
